Tips for Better Data Privacy for Small Businesses

Everyone is concerned about the security of their data, often more than they are about the security of their income. It’s critical to ensure that customer, staff and operational data is secure. This is especially true for small businesses, which are targeted in most of the cyber-attacks today. Their less-secure systems make for easier targets for hackers. Here are some steps you can take to protect your small business.

Use Technology

These days, even small businesses have a range of tools available for protecting information. No longer is the key to the filing cabinet the only thing between you and a data breach. Naturally, those who wish to steal that data also have several tools at their disposal. That means you need to secure networks, use strong passwords and data encryption to ensure you’re ahead of the game. And don’t forget to make sure that your anti-virus software is up to date.

Foster a Culture of Security

Sensitive data protection isn’t just for IT, it is for the whole company. Everyone needs to be on the same page. Have a clear policy outlining the appropriate use, access and storage of all company data. Educate staff on how to evaluate websites before downloading files. Ensure personal social media accounts are separate from the business, who & how staff have access to and use business accounts to avoid any accidental posting of sensitive information.

Educate Customers

Advising customers about how you’ll use their data will make them feel more comfortable about sharing their information. Be sure not to use customer data in unexpected ways. For example, sharing customer data with third-parties isn’t a good idea unless you get customer permission first. Even in those cases, it’s important to check the third-parties thoroughly before you begin working with them and to have agreements in place to ensure due diligence and security procedures are followed.

Track Sensitive Information

Do you know all the uses of information and data within your company?  Is it all secure and backed up? Do you know on which computers and server(s) sensitive data are stored? Limiting the number of devices with secure data is a good start. The fewer places that data is stored, the less exposure you have. Have access protocols in place with tracking to have a record of who accessed what and when.

Perform Background Checks on Employees

Conduct background checks on staff who have access to sensitive information. This will help you ensure there are no situations that could led to a security or trust breach. Keep an eye out for bad credit or inappropriate behaviour that may temp staff to bend the rules for personal or other benefit. This will help reduce the risk a data breach originated internally.
